OwnList Privacy Policy

Before using OwnList (the "App"), please read this Privacy Policy carefully. OwnList is designed around a local-first, private-by-default approach. We do not build advertising profiles, we do not sell personal information, and we do not integrate third-party advertising or behavioral analytics SDKs.

1. Information We Process

Depending on the features you choose to use, the App may process the following information:

  1. Item and asset records: item names, categories, purchase dates, purchase prices, currencies, status, archive information, notes, photos you choose to add, and usage records.
  2. Profile information: nickname and avatar image, if you choose to set them.
  3. App preferences: language, sorting preferences, notification settings, automatic usage logging settings, iCloud sync status, and related local configuration.
  4. Widget snapshot data: limited summary data needed to display the home screen widget, such as item dates, prices, categories, and status counts.
  5. Backup files: JSON export/import files that you create, save, share, or import manually.
  6. Voice input content: audio captured only when you actively start voice input, and recognized text used to fill item fields such as name, price, date, and category.
  7. Notification content: local notification text generated on your device for reminders, milestones, anniversaries, and item status changes.
  8. App Store and system information: Apple may provide purchase, download, review, crash, diagnostic, or device-level information through Apple services according to Apple's own policies.

2. How We Use Information

We process information only to provide and improve the App's core functionality, including:

  1. Creating, editing, organizing, searching, and displaying your item records.
  2. Calculating statistics such as total value, category distribution, daily cost, usage frequency, yearly trends, and item milestones.
  3. Saving your preferences and keeping the App experience consistent across launches.
  4. Displaying widget summaries through the iOS app group container.
  5. Enabling optional iCloud sync through Apple's CloudKit private database.
  6. Exporting and importing manual JSON backups at your request.
  7. Processing voice input when you actively use the voice entry feature.
  8. Sending local notifications if you grant notification permission.
  9. Opening App Store links for review, sharing, or update checks.
  10. Responding to support requests that you send to us by email.

3. Local Storage and Optional iCloud Sync

OwnList stores your core item data on your device using Apple's local app storage technologies.

If you turn on iCloud sync, your App data is synchronized through Apple CloudKit in your private iCloud database associated with your Apple Account. Your core item records, purchase amounts, notes, photos, usage history, categories, and profile content are not stored on our own servers. As the App developer, we do not have ordinary access to read the contents of your private CloudKit database.

If you keep iCloud sync off, your core item data remains local to your device unless you manually export, share, back up, or otherwise move it.

4. Apple Services

The App relies on Apple platform services for certain features:

  1. iCloud and CloudKit: used only if you enable iCloud sync. Apple processes and stores synced data according to Apple's terms and privacy policy.
  2. Sign in with Apple and Apple Account status: used to identify whether Apple account access is available for App features. We do not receive your Apple ID password.
  3. Speech Recognition and Microphone: used only when you actively start voice input. Speech recognition may be processed by Apple depending on device, language, and system settings.
  4. Photos and Camera: used only when you choose to add or replace an item photo or profile avatar.
  5. Notifications: used only after permission is granted. Notifications are scheduled locally by the App.
  6. App Store services: used for App review links, sharing links, and update checks.

5. Third-Party SDKs, Ads, and Tracking

The App does not include third-party advertising SDKs or third-party behavioral analytics SDKs. We do not track you across apps or websites owned by other companies, and we do not sell or share personal information for cross-context behavioral advertising.

If we add any analytics, crash reporting, advertising, payment, or other third-party SDK in a future version, we will update this Privacy Policy and the App Store privacy disclosure before release where required.

6. Permissions

You may grant or deny App permissions at any time through iOS Settings:

  1. Microphone and Speech Recognition: required for voice input.
  2. Photos or Camera: required when choosing or taking photos for items or your profile.
  3. Notifications: required for reminders and milestone notifications.
  4. iCloud: required only for optional sync across your Apple devices.

If a permission is denied, the related feature may be unavailable, but the rest of the App will continue to work where possible.

7. Manual Export, Import, and Sharing

When you export a JSON backup, the file may include your categories, item names, purchase prices, photos, notes, usage records, profile nickname, avatar, and related settings. You control where that file is saved or shared. Please protect exported files carefully, especially before sending them through email, cloud drives, messaging apps, or other services.

When you import a backup file, the App reads the file you select to restore or replace App data according to the import flow.

8. Data Retention and Deletion

Local App data remains on your device until you delete it, import replacement data, delete the App, or erase the device.

iCloud-synced App data remains in your private iCloud database until you delete it through the App, disable or manage iCloud storage through Apple settings, delete the App's iCloud data, or delete your Apple Account according to Apple's controls.

Exported backup files remain wherever you saved or shared them until you delete them from those locations.

Emails you send to us may be retained as long as reasonably necessary to respond to your request, maintain business records, prevent abuse, and comply with legal obligations.

9. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing of personal information. You may also have the right to withdraw consent where processing is based on consent.

Most App data is controlled directly by you on your device or in your private iCloud account. You can exercise many rights by editing or deleting records in the App, deleting local data, deleting exported files, changing iOS permissions, or managing iCloud data through Apple settings.

For information that you have sent directly to us, such as support emails, you may contact us using the email addresses listed below. We may need to verify your request before responding.

10. Children

The App is not directed to children under 18, or to the minimum age required by local law for using similar digital services without parental consent. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us by email or another direct channel, please contact us so we can take appropriate action.

11. Security

We use Apple's platform security features, including iOS app sandboxing, local storage protections, app group controls for widget data, and CloudKit security for optional iCloud sync. No method of storage or transmission is completely secure, so we recommend using device passcodes, Apple Account protection, and careful handling of exported backup files.

12. Changes to This Policy

We may update this Privacy Policy when laws, platform requirements, or App features change. When we make material changes, we will update the "Last updated" date and provide additional notice in the App or on our website where appropriate.
